Something to Think About

If there is one thing I really know how to do, it's how to PDF (Portable Document Format) a document! On any given day, I can PDF 5-15 documents for the web. Step by step it can be a complicated and daunting task, seemingly scary sometimes, but the outcomes are internet ready documents, that you can control easily!

The first thing you will need is software to convert documents into PDFs. Adobe Acrobat Professional is the most thorough of these types of software. The cost is $449.00 for Professional 8, and it can be purchased for download at or you can use Adobe's online service. The cost is $9.99 a month or $99.99 per year, (at ).

Although I do not recommend using this service if you are developing content for the web.

Document properties and security are important for your document that is on the web, because it shows ownership of the document or the product! This is especially important when working with your original content. When using the Adobe online service, it will take your document, and create a PDF, however you do not have the option of filling out the security section and the document properties section of the program, unless you have Acrobat Professional, and even then, if it is locked, you will not be able to change it.

When you are creating a document for PDF viewing keep in mind the following:

  • Is this document going to be placed on the internet$%:

  • The document should always be in its final version. It is very hard to make formatting changes in PDF. And keep in mind that the text editor is for just editing text, not to rewrite the document, so always keep your original file on hand.

  • Forms created in Word will need to have the fields, if you want individuals to fill out the PDF version (people with only Acrobat Reader will not be able to save a PDF'd form that they are filling out). I would recommend placing a password protected Word version (this makes it so anyone using the form, can only fill out the form fields and not alter the document), and a PDF version (for those who will print and fill out) on the internet site.

  • If you want to convert a PDF back to word, you will lose formatting!

    Now getting into all of the actual instructions and everything that is involved in creating a PDF is more than I can truly write in this article, because it simply is not pushing a button and everything is finished. If you intend on making a PDF truly ready for the web, there is much more to it.
